POSITION DESCRIPTION: As a Virtual Assistant, you will perform various administrative tasks, including answering emails, scheduling appointments and maintenance of a job management system.
Key Roles and Responsibilities:
- Manage multiple email inboxes, respond to emails and phone calls
- Drafting emails and handling business communications
- Organize efficient job routes for technicians
- Schedule appointments with clients and enter into job management system
- Maintain job management system to ensure job cards are up to date and actioned where necessary
- Reporting and analysis
- Manage a contact list
- Prepare customer spreadsheets and keep online records
- Online research and data collection
- Address employees’ administrative queries
- Provide customer service as first point of contact
- Conduct customer care calls
- Other administrative tasks and projects

QUALIFICATIONS:
- At least two (2) years’ experience in a BPO industry
- Proven experience as a Virtual Assistant or relevant role
- Familiarity with current technologies, like desktop sharing, cloud services and VoIP
- Experience with word-processing software and spreadsheets (e.g. MS Office)
- Knowledge of online calendars and scheduling (e.g. Google Calendar)
- Excellent phone, email and instant messaging communication skills
- Excellent time management skills
- Solid organizational skills
